Program Officer (Coordination, Reporting & Documentation)

YPSA has been implementing the “ECW-MYRP-II ” project in the Rohingya and Host Communities in Cox’s Bazar. This is a Consortium Project and Save the Children is the Grantee and Consortium Lead of the project. YPSA is going to expand its education activities at different Camps at Teknaf & Ukhiya Upazila in Cox’s Bazar. YPSA is committed to accessing more Adolescent Girls through implementing a Community-Based Learning Facility (CBLF) as well as a Learning Centre (LC) and Teach to Transform Activities under the ECW Top-Up Fund in Cox’s Bazar.

Job Title: Program Officer (Coordination, Reporting & Documentation) under ECW TOP UP Fund

Duration: Up to February 2025

Main Responsibility and Job Overview:

Coordination:

The Program Officer will be responsible for Close Coordination with the RRRC Office, Camp Level CIC Office, Cox’s Bazar Education Sector, Upazila Education Office, UNO Office, Upazila Social Welfare Office, and district Primary Education Office as well as ECW Consortium Partners (Save the Children International, Handicraft International, and JCF), YPSA Education Project Staffs (ECW, ECW TOP UP, and EIE), YPSA Management for smooth Program Coordination, reporting & Documentation purpose in advance. Coordinate & organize Project Working Group Meetings; Project Team Coordination Meetings & ensure meeting decisions, Organize Camp level Training, Organize SCI and HI Training, Organize Cox’s Bazar Education Sectors Level Training, Meetings, and Workshops in person and distance.

Reporting & Documentation: The Program Officer will be responsible for Preparing the Project Completion Report (PCR); Need Assessment for Camp (1E, 10, 13, 14, 15, 16, 18, 19 & 25); Monthly Progress Narrative Reports (Cumulative and Narrative); FD-7 Report; Quarterly Narrative Report; Half Yearly Report and Annual Report; ECW Annual Join Narrative Report; Field level Event Report and a brief report on (Distribution, Day observation, and donor visit Report);  Publishing the report at the different website; Follow up and ensure the report submission close coordination with Project Staffs for quality reporting, ensure the data authenticity and submission the report before the timeline. Prepare Here are the Case studies, success stories, best practices, lessons learned, and guide to the team and proper documentation of the mentioned reports with the support of Program Coordination;

Additional Responsibilities:

  • Track the activity of the DIP every month with close coordination of the PC
  • Raise PR and coordinate with respective persons for timely delivery of the logistics
  • Frequently visit the field, share the field findings, take remedial plans for staff and teachers’ capacity development initiatives
  • Track workplan and field movement plan of the project staff and updates to the PC
  • Maintain professional relationships with all the project team members, promoting a respectful team spirit
  • Monitor the Safeguarding issues, child protection and Gender sensitivity issues, staff Conflict, and safety security issues, and timely reporting and response to the proper channel of the organization;
  • Maintain good liaison and coordination with the team during Emergency Situations, timely reporting, and response
  • Other duties as assigned by the supervisor to ensure quality implementation and contribution to YPSA.

Staff Supervision and Direct Staffs:

No direct staff/ Supervisee under his or her supervision. The Program Officer (Coordination, Reporting & Documentation) will report to the Program Coordinator directly.

Experience:

  • At least 7 years (s) relevant experience in education project implementation including 3 years’ experience in Education in Emergency (EIE) Context Rohingya Response Education Project Implementation;
  • Experience in Project Coordinator (PC)/ Project Coordination will be given priority

Knowledge, Skills & Competences:

  • Fluency in the English Language is essential
  • Excellent written skills in Bangla (Bijoy software)
  • Prepare PowerPoint presentation Slides, collect updated information from a colleague(s), and present it in front of donors, the Education Sector, and ECW Consortium Partners in different forums on behalf of the Program Coordinator
  • Excellent skills in Excel (Databased, Pivot table & habituated using different formats)

Educational Qualification:

  • Master in English / MDS/ M. Ed or any other subject from a recognized University

Project Location: Ukhiya Project Office in Cox’s Bazar

Monthly Consolidated Salary: BDT 70,000 (Seventy Thousand Taka only)
